Save an Email as PDF
Purpose:
Save an email as a PDF file to utilize the advantages of PDF file options.
Overview:
Users usually store their emails in a storage file of the email application they use and a lot of the time that file is stored in the clouds. The following instructions are how to save the email as a PDF file which allows you to view the email without the email application or in some cases an Internet connection to view the email stored in the clouds. As a PDF file, this will allow you to combine several emails together and password protect the file.
Special Note:
This works for all email applications and Windows versions.
Quick Take:
• Select Print for the email
• Select Microsoft Print to PDF
• Select a name for the file and save to your hard drive.
Detailed Instructions:
• Open the email application that you use and select the email you want to save.
• Select Print in your application to open the Print dialog window. Usually Ctrl + P keyboard shortcut within the email application will open the Print dialog window.
• In the Print dialog window select the dropdown arrow to the right of the default printer shown as the Printer and from the list of “Printers” select Microsoft Print to PDF as the “Printer”.
• Press the Print button which will open a Save Print Output As window.
• Select a location on your drive(s) to save the pdf file to.
• Select a name for the file. The file type will already be selected for PDF.
• Press the Save button to save the file to your drive.

Why save the email as a PDF file?
• If the only way you have saved an email is in your email application’s storage file, then you will have to open that application and storage file in order to view the email. If your email application becomes non-functional or the application’s storage folder becomes corrupt, you lose access to that email and may lose that email for good. Solution: Save important individual emails to your hard drive.
• If you save an individual email using your email application, it will save the email in the application’s format which can be: .eml, .mbox, exif, .vcf, or .msg. Emails saved in these formats will require the application that saved the email or other software that can open and view the emails in the format they were saved as. Again if you lose access to the email application that saved the email, you will need third party software that can view the file format the email was saved in.
• If you save the email in PDF format, nearly all devices has software already installed that can open and view PDF files, which is now your saved email.
• If you have PDF editor software (there are many good ones that are free), you can combine the individual email PDF files into one PDF file. A PDF editor will also allow you password protect the PDF file so only it can be opened only by you.
• Once you save your important emails to your hard drive in PDF format, you can delete them from your email application and its storage file.
